Operations Manager
What we do not have is an operations function. Contracts live in inboxes. Renewal dates live in people's heads. Every spend decision is its own conversation. None of that is anyone's fault; the company grew faster than its operating system did.
You would be the first person to own it. There is no playbook here to inherit. We are looking for an opinionated and experienced executor to create the playbook and systems.
Responsabilidades
- Quickly understand complex systems, break them down to fundamentals, and create elegant and efficient systems that can either self-improve or be maintained and improved by team members
- Coordinate marketing operations: the agency relationship, freelancers, the content and campaign calendar, and the budget. You are organizing the work and keeping it moving, not writing the copy or running the campaigns.
- Own legal operations end to end: intake, routing between sales, compliance, and legal, feedback, sharp questions, and tracking.
- Own money operations: department budgets, one intake and approval path for spend, receivables chased to resolution, and the monthly partner payment cycle.
- Own people operations for a distributed team: onboarding and offboarding, contractor agreements, IP assignment, time off, and equity grant administration with outside counsel.
- Own the corporate back office: insurance, entity filings and registrations, system access, and the recurring internal reports other people depend on being right.
- Run logistics for team offsites and company events.
- Manage a small operations team and raise the standard of what ships.
Requisitos
- 5 to 10 years in operations, business operations, or chief of staff work, including at least two running operations at a startup somewhere between 20 and 60 people.
- Must have at least a 4-hour overlap with Central European Time. If you live on the East Coast of the US, we’d be looking for an early riser.
- You have managed contracts through their lifecycle and worked with outside counsel. You know which clauses need a lawyer and which are a business decision.
- Experience with distributed contractor teams across multiple countries. Deel, Remote, or similar.
- You build the system before the failure, not after it. When we ask what you built in your last role that nobody asked you to build, you will have an answer.
- You catch your own errors. A wrong number going out bothers you more than it bothers most people.
- Comfortable using AI tools to do the work faster, and able to tell when the output is wrong.
- You are already using agents natively to automate parts of your life and/or business/job.
- Self-directed. No office, no one watching your calendar, no peer in your function. You decide what matters this week.
- Direct. You will be telling people no on spend and telling us when something is stuck.
Nice to have
- Equity administration: option pools, grant paperwork, 409A cycles, cap table hygiene.
- Experience supporting a diligence or fundraising process.
- Worked somewhere that went from no operations function to having one.
- Familiarity with modern spend management, CRM, project tracking and BI tools.
Being straight with you
The list above is where this role starts, not where it ends. The functions stay; the specific work moves as we grow, and you would be the one deciding what to systematize, hand off, or kill.
You would be our first operations hire, reporting to the CEO. If you want a defined remit and a manager who has done this job before you, this is not the right role.
